Welcome to www.zoeark.com. This Privacy Policy explains how Zoeark LLC, operating as Zoeark Care (“we,” “our,” or “the Coach”), collects, uses, stores, and protects personal data from visitors and clients. This policy applies to individuals globally, including those in the European Union (EU) and United Kingdom (UK) under the General Data Protection Regulation (GDPR).

1. Data controller

Zoeark LLC operates www.zoeark.com and acts as the data controller for your information. Privacy questions or requests: coaching@zoeark.com.

2. What information we collect and why

We collect only what we need to manage appointments, process billing, and deliver neuroaffirming coaching. Our legal bases include fulfilling our contract with you and our legitimate interests in running the practice.

  • Identity and contact data: Name, email address, and phone number when you book or contact us.
  • Financial data: Billing details and transactions through PCI-compliant payment processors. We do not store full card numbers on our systems.
  • Administrative session summaries: High-level typed notes on coaching milestones and action items to support continuity and executive function (not verbatim transcripts).
  • Website and technical data: When you visit the site, our hosting provider processes connection data (see Cloudflare below), such as IP address, browser type, and pages requested, for security and delivery of the site.

3. Our no-recording policy

Zoeark Care does not record, stream, or store audio or video of coaching sessions. You may record on your own device for personal reference if you choose.

4. Data retention and the 90-day inactivity rule

We do not keep personal information longer than necessary. Because coaching is on-demand and session-by-session, client files follow a rolling expiration: administrative session notes and related file entries are permanently deleted after 90 consecutive days without a completed session or new booking, unless you ask us to delete sooner.

5. Third-party service providers

We use trusted vendors to operate the practice. Where required, we rely on data processing agreements or equivalent safeguards. Categories include:

  • Cloudflare (hosting and security): This website is served through Cloudflare (including Cloudflare Pages). Cloudflare processes technical data about your visit (for example IP address, system configuration, and request metadata) to provide the site, protect against abuse, and improve performance. Cloudflare may set essential cookies or similar technologies when needed for security (for example bot management). We do not use Cloudflare to sell your personal information.   • Google: Appointment booking via Google Calendar scheduling links; site fonts may load from Google Fonts. Google’s terms and privacy policy apply when you use those services.
  • Google Drive: Secure storage for practice files where applicable, under Google’s data protection terms.
  • Payment processors: Card and payment handling by our PCI-compliant payment vendors.

6. Your privacy rights (including GDPR)

Depending on where you live, you may have the right to access, correct, or delete your data, restrict or object to certain processing, and data portability. You may request erasure (“right to be forgotten”) before the automated 90-day inactivity deletion. To exercise these rights, email coaching@zoeark.com. You may also lodge a complaint with your local data protection authority.

7. Changes to this policy

We may update this page from time to time. The “Last updated” date at the top will change when we do. Continued use of the site after changes means you accept the revised policy.
